
Financial Responsibility, Refund, Cancellation/No-Show Policy, and Payment Authorization

This Refund, Cancellation & Payment Policy explains Southern Glow I.V.’s policies regarding payment, refunds, appointment cancellations, no-shows, deposits, and payment authorization.
By booking an appointment, submitting payment information, keeping a card on file, purchasing services, or receiving services from Southern Glow I.V., you agree to this policy.
1. Self-Pay Services
Southern Glow I.V. provides elective mobile IV hydration and wellness services. Services are generally self-pay and are not billed to insurance or Medicare by Southern Glow I.V.
Clients are responsible for all charges associated with their selected services, including infusions, injections, additives, medications, travel fees, event fees, deposits, cancellation fees, no-show fees, and any other charges disclosed at booking or in writing.
Southern Glow I.V. does not guarantee that any service, receipt, superbill, or documentation will be reimbursed by insurance, HSA/FSA plans, Medicare, Medicaid, or any third-party payer.
2. Fees
Fees are determined by the selected infusion, injection, service type, additives, medications, event requirements, travel requirements, and any other applicable charges.
Current base prices are posted on Southern Glow I.V.’s website or booking platform. Prices are subject to change unless otherwise stated in a confirmed booking, written quote, invoice, or signed agreement.
3. Good Faith Estimate
If applicable under federal law, uninsured or self-pay clients may receive or request a Good Faith Estimate of expected charges for scheduled self-pay services.
A Good Faith Estimate is an estimate only and is not a contract requiring the client to receive services. Actual charges may differ if the client requests additional services, add-ons, medications, event services, travel services, or other items not included in the original estimate. Federal rules require Good Faith Estimates for uninsured or self-pay individuals upon scheduling or request and require the estimate to be provided within specific timeframes depending on when the service is scheduled or requested.
4. Payment Timing and Accepted Payment Methods
Payment is due at the time of service unless otherwise stated at booking, in an invoice, or in a written agreement.
Southern Glow I.V. may accept cash, major credit/debit cards, HSA/FSA cards if allowed by the client’s plan, approved electronic payment apps, or other approved payment methods.
Southern Glow I.V. may require a card on file, deposit, prepayment, or payment authorization before confirming an appointment, group booking, or event booking.
5. Clinical Review Required Before Service
Booking an appointment does not guarantee that services will be provided.
Southern Glow I.V. requires intake, screening, consent, and clinical review before infusions, injections, medications, additives, or related wellness services are provided. Services may be approved, modified, delayed, or declined based on clinical judgment, safety concerns, contraindications, incomplete information, abnormal screening results, provider discretion, or applicable law.
If Southern Glow I.V. determines before service that a client is not clinically appropriate for the requested service, the appointment may be canceled, modified, or rescheduled.
6. Refunds When Southern Glow I.V. Declines Service for Clinical Reasons
If Southern Glow I.V. declines to provide a service after clinical review and the client has provided complete and accurate information, Southern Glow I.V. may offer one of the following:

A refund of any prepaid service amount;

A credit toward a future eligible service;

A modified service, if clinically appropriate and accepted by the client;

Rescheduling, if appropriate.
No cancellation/no-show fee will be charged when Southern Glow I.V. declines service for clinical safety reasons before dispatch and the client has completed all required forms honestly and on time.
However, if service is declined because the client provided false, incomplete, inaccurate, or omitted health information, failed to complete required intake or consent forms, failed to disclose relevant medical history, was unavailable for clinical review, or created an unsafe or unsuitable service environment, applicable cancellation, travel, dispatch, deposit, or no-show fees may apply.
7. Refunds for Completed Services
Once a service has been rendered, started, administered, or partially administered, payments are generally nonrefundable.
This includes, but is not limited to:

IV hydration services;
-
Vitamin/nutrient infusions;
-
Injections;
-
Additives;
-
Medications;
-
NAD+ services;
-
Event services;
-
Travel or mobile service fees;
-
Any supplies opened, prepared, or used for the client.
Southern Glow I.V. does not guarantee specific results, outcomes, symptom relief, energy improvement, recovery, wellness effect, or client satisfaction. Lack of desired result does not entitle a client to a refund.
Southern Glow I.V. may review refund requests on a case-by-case basis, but approval of a refund is at Southern Glow I.V.’s discretion unless otherwise required by law.
8. Cancellations or Rescheduling More Than 24 Hours Before Appointment
Individual appointments canceled or rescheduled at least twenty-four (24) hours before the start of the scheduled arrival window will not incur a cancellation/no-show fee.
If the client prepaid for an individual appointment and cancels at least twenty-four (24) hours before the scheduled arrival window, Southern Glow I.V. may refund the prepaid service amount or apply it as a credit toward a future appointment, subject to any disclosed nonrefundable processing fees, deposits, or written booking terms.
9. Late Cancellation / No-Show Policy
Appointments canceled or rescheduled less than twenty-four (24) hours before the start of the scheduled arrival window, and no-show appointments, will incur a $50.00 cancellation/no-show fee.
A no-show may include, but is not limited to:

Client is not present or available during the scheduled arrival window;

Client provides an incorrect or incomplete service address;
-
Provider cannot access the location;
-
Client cannot be reached after reasonable attempts;
-
Client fails to complete required intake, screening, consent, or telehealth review requirements;

Client is unable or unwilling to receive service after provider arrival for reasons not caused by Southern Glow I.V.;
-
Service location is unsafe, unsanitary, inaccessible, or unsuitable.
If the client prepaid for the service, Southern Glow I.V. may deduct the applicable cancellation/no-show fee from the prepaid amount and refund or credit any remaining balance, unless otherwise stated in writing.
10. Group and Event Bookings
Group and event bookings may require a deposit, minimum participant count, written quote, invoice, event agreement, travel fee, staffing fee, or other special terms.
For group or event bookings, any required booking deposit is nonrefundable if cancellation occurs less than twenty-four (24) hours before the scheduled event start time.
If a group or event deposit has been paid, forfeiture of that deposit satisfies this cancellation/no-show policy, and no additional $50.00 cancellation/no-show fee will be charged unless otherwise stated in writing at the time of booking.
If an event is canceled at least twenty-four (24) hours before the scheduled event start time, refund or credit of the deposit will be handled according to the written event quote, invoice, or event agreement. If no separate written event terms apply, Southern Glow I.V. may offer a refund or credit of the deposit at its discretion.
Southern Glow I.V. may decline service to any event participant who does not complete required forms, fails clinical screening, is not an appropriate candidate, appears impaired, cannot provide informed consent, or presents a safety concern. Refunds for individual event participants will be handled according to the event agreement, invoice, or case-by-case review.
11. Southern Glow I.V. Cancellation
Southern Glow I.V. may cancel, reschedule, or modify appointments due to clinical concerns, provider availability, severe weather, unsafe conditions, traffic, emergency circumstances, supply issues, service area limitations, or other operational needs.
If Southern Glow I.V. cancels an appointment before service is provided, the client will not be charged a cancellation/no-show fee. If the client prepaid, Southern Glow I.V. may offer a refund, credit, or rescheduled appointment.
12. Severe Weather, Emergencies, and Safety Concerns
Southern Glow I.V. may waive cancellation/no-show fees in cases of severe weather, emergencies, safety concerns, or other circumstances approved at Southern Glow I.V.’s sole discretion.
Southern Glow I.V. reserves the right to cancel or leave an appointment if the provider determines that the service location or circumstances are unsafe, unsanitary, inaccessible, threatening, or inappropriate.
13. Card-on-File Authorization
If a payment card is kept on file, the client authorizes Southern Glow I.V. and/or its payment processor to charge the applicable cancellation fee, no-show fee, deposit forfeiture, service fee, event fee, travel fee, or other approved charge under this policy.
The client authorizes Southern Glow I.V. to securely store a payment card for future visits and to charge it only for services or fees approved at the time of scheduling or service, or for applicable late cancellation/no-show fees under this policy.
A client may revoke card storage authorization by written notice. Revocation will not affect charges already authorized, charges already incurred, or amounts owed under this policy.
14. Memberships, Packages, Gift Cards, and Promotions
Any future membership, package, gift card, promotional offer, or service bundle will be subject to separate written terms provided at the time of purchase or enrollment.
Unless otherwise stated in writing, memberships, packages, gift cards, promotional offers, and discounted services are not redeemable for cash and may be subject to expiration dates, eligibility requirements, clinical approval, service area limits, and separate refund restrictions.
15. Receipts and Superbills
Clients may request an itemized receipt.
Any superbill, receipt, invoice, or payment documentation provided by Southern Glow I.V. is not a guarantee of reimbursement by insurance, HSA/FSA plans, Medicare, Medicaid, or any third-party payer.
16. Refund Request Process
To request a refund review, contact Southern Glow I.V. in writing and include:

Client name;

Appointment date;

Service booked;
-
Amount paid;
-
Reason for the refund request;
-
Best contact information.
Refund requests may be sent to Southern Glow I.V. by email.
Approved refunds will generally be issued to the original payment method when possible. Refund processing times may vary depending on the payment processor, card issuer, bank, or financial institution. Refunds may take several business days to appear after processing.
Payment processing fees may be nonrefundable where permitted by law, payment processor rules, and disclosed booking terms.
17. Chargebacks and Payment Disputes
Clients are encouraged to contact Southern Glow I.V. directly with billing questions or refund concerns before initiating a chargeback or payment dispute.
Initiating a chargeback does not cancel amounts validly owed under this policy. Southern Glow I.V. reserves the right to provide booking records, signed consents, payment authorizations, service records, communication records, and policy acknowledgments to payment processors, banks, or card issuers as needed to respond to a payment dispute, while protecting health information as required by applicable law.
18. Policy Updates
Southern Glow I.V. may update this Refund, Cancellation & Payment Policy from time to time. The updated policy will be posted on the website with a revised effective date.
